Position Summary:

Under general supervision, RFP Specialist acts as project manager overseeing development of sales proposals in collaboration with the sales team. 
Specialist will also assist with various projects and duties on behalf of RFP Response Team, RFP Team Manager and related departmental managers to ensure that internal processes are followed and that project timelines are met.

Primary Duties and Responsibilities:

RFP Specialist will act as project manager overseeing the development of responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and general proposal documents. They will also act as a proposal writer, preparing response drafts, ensuring a comprehensive match to the external customer requirements and internal business guidelines. 

Duties include:
  • Completes RFP responses for a wide range of product categories, including office products, facility supplies, furniture, print services, technology and more.
  • Responsible for creating accurate, well-written and properly formatted RFP responses through research, writing, interviewing, proofreading, editing and formatting. 
  • Ensures all customer requirements are met and that RFP response complies with all internal guidelines.
  • Coordinates RFP activities and communications, such as conference calls, meeting recaps, project plans, item assignment, executive signatures, follow-up and follow-through.
  • Coordinates with various colleagues, executives and subject matter experts to obtain information needed to respond to RFPs (e.g. legal, sales, merchandising, marketing, pricing, IT, etc.)
  • Participates in quality check processes and peer reviews of all work products.
  • Ensures final response package is appropriately formatted and submitted to customer on time. 
  • Assists in developing/updating RFP content for future/continued use.
  • Participates in team meetings for coordination of work flow, work review, sharing of information and best practices.


Minimum Education Requirements: 

  • High School Diploma or GED 
  • Bachelor’s Degree in English, Marketing, Legal or related field of study OR an equivalent combination of education, training and experience. 

Minimum Prior Related Work Experience: 

  • Minimum of 1 to 2 years’ experience with the following: researching and writing responses to RFPs, sales support or marketing, or an equivalent combination of education, training and experience. Strong understanding of competitive market and office product knowledge desired. 

Essential Skills Required: 

  • Project management skills: demonstrated ability to keep projects on track through proactive communication, prioritization, problem solving, time/task management, ability to manage multiple projects, organization, etc.
  • Advanced Computer Skills. Must have advanced skills in the entire MS Office Suite, including: Word, Excel and PowerPoint; MS Outlook. Adobe Acrobat. Ability to learn new software quickly.
  • Excellent verbal communication skills.
  • Excellent written communication skills with which to clearly explain concepts in professional documents, using easy-to-understand English; must have strong command of punctuation and grammar.
  • Excellent reading comprehension.
  • Demonstrated ability to follow departmental rules and guidelines and provide necessary support for team.
  • Must be able to learn quickly and work well under minimal supervision as a part of a fast-paced team.
  • Detail oriented.
  • Ability to work under pressure, especially under tight client deadlines.
  • Strong interpersonal skills; Must be able to work with strong personalities.
  • Strong analytical skills and business acumen.
  • Flexibility with RFP projects and other duties as assigned.
  • Understanding of Office Supplies and related category markets.
